Tax Administrative Executive

We’re currently looking for a Tax Administrative Executive to join our team.

 

What you’ll be doing:

  • Manage all incoming mail addressed to the tax department by recording its receipt in an internal tracking sheet and ensuring appropriate handling of all outgoing mail.
  • Liaise with team leaders to obtain a complete list of clients relevant for provisional tax purposes, communicate with those clients using standard templates, provide support with payments or the preparation of provisional tax reduction forms, and carry out timely follow-ups.
  • Retrieve the list of tax payments due each month, contact clients to provide reminders and assistance with the payment process, and ensure that appropriate follow-ups are conducted.
  • Obtain information on changes in financial year-end from team members, draft formal letters for review and approval, submit these to the Inland Compliance and Tax Unit (ICTU), and monitor progress until completion.
  • Gather details regarding changes in client address from internal or external sources, notify ICTU accordingly, and ensure all updates are properly followed up
  • Prepare all letters of engagement for the tax department, circulate them for internal review, forward them to clients for signature, ensure full execution by all relevant parties, and maintain a comprehensive register of signed documents.
  • Handle all applications and deregistration’s with the Commissioner for Revenue (CfR), ensure proper documentation is saved, and maintain an accurate and updated register of client records.
  • Send regular reminders to clients and audit teams regarding critical deadlines to support timely compliance.
  • Coordinate with ICTU to resolve general administrative matters and facilitate communication as needed.
  • Record new job requests in the internal tracking sheet in coordination with the administrative team and ensure that jobs are opened in a timely manner.
  • Maintain and regularly update the contact list of representatives from the Malta Tax and Customs Administration (MTCA) and ICTU.
  • Maintain an accurate and current contact list for clients to support consistent and effective communication.
  • Assist with the preparation and submission of tax-related documents to MTCA, ensuring accuracy and adherence to required deadlines.
  • Provide additional administrative assistance in support of the tax function, as may be required from time to time.

 

What you’ll bring to the role:

  • A proactive attitude and a willingness to support the daily administrative and routine tasks within the tax department, helping the team follow up with clients more efficiently.
  • While formal qualifications are not required, having a basic understanding of accounting and tax would be an advantage.
  • Experience working in a similar environment would be preferred, as this would help ensure a smoother transition into the role.
  • A positive and cooperative approach to learning, with openness to receiving on-the-job training from the tax team to perform tasks accurately and efficiently.
  • A flexible and dependable approach to work, with the ability to adapt to the department’s needs as they arise.
